This week is our final post in the Keys to Launching a Medspa series. In this final phase, we cover equipping your medspa, management systems, recruiting your team, and finally, opening your medspa!
Equip Your Medspa
Define all the things that you will need to facilitate the procedures and treatments on the service menu. These include lasers, treatment tables, syringes, etc. Merchandise the retail space with the appropriate and proper shelving, shelf-talkers, flat-screen TVs and anything else that generates excitement for the retail area. Don’t forget administrative equipment such as computers, printers, front desk software, etc.
Management Systems
Your medspa’s management systems should include a set of standard operating manuals, an employee handbook, medical or service protocols on how to perform all services and procedures to ensure uniformity among treatments performed by staff, sales tools and a point of sales system. In addition to its transaction capabilities, a great POS system includes a built-in CRM to manage leads correctly and an appointment book.
Recruit Your Team
Your medspa is getting close to opening and it is finally time to recruit your team. We recommend that you start recruiting a practice manager roughly 90-120 days before the anticipated opening date. Then, task the manager with recruiting the remaining team members. These will be your front desk associates, nurses, aestheticians, nurse practitioners and physician assistants, if applicable. Once the team is complete, you can work with them on how you want them to be trained.
Opening Your Medspa
It is finally time to open your medspa. Finish setting everything up and do a deep cleaning before the doors are open for business. Make sure your staff is trained in all aspects of the practice. This includes customer service training, product and service training, clinical training, management training and sales training. Consider doing a friends and family opening. Doing this one to two weeks prior to officially opening gives the team a feel for the operations of the business and the ability to practice procedures or services. Acara also recommends doing a soft opening. Consider having your medspa open for up to six weeks before conducting the grand opening. This gives you and the practice manager a grace period to iron out any issues that may arise.
